Terms & Conditions


1) Introduction

1.1 These Terms and Conditions govern your booking and participation in classes with Cygnets Art School (“we”, “our”, “us”). By booking a class or participating in our services, you agree to be bound by these terms.

1.2 We may amend these Terms and Conditions at any time. Any amendments will be posted on our website, and you are advised to review them regularly.

2) Booking and Enrolment

2.1 All bookings for classes must be made through our online booking system or directly with the franchise.

2.2 When booking, you must provide accurate and complete information, including your name, contact details, and payment information.

2.3 By completing a booking, you confirm that you have read and understood these Terms and Conditions and agree to abide by them.

2.4 Your child’s place on a Cygnets Art School class or course is confirmed only once the online booking has been completed and full payment has been received. Until this is completed, the place is not secured and may be offered to another party.

2.5 Responsibility for the details of bookings and payment lies with the person making the initial booking. Places are allocated on a strictly first-come, first-served basis. If the class or course you require is fully booked, you will be placed on a waiting list. In the event of a space becoming available, Cygnets Art School will contact you via email or phone.

2.6 If for any reason a participant withdraws from a Cygnets Art School class/course after being accepted, Cygnets Art School reserves the right to withhold the full class/course fee. This also applies in the event of sickness.

3) Re-Enrolment and Cancellation

3.1 Term Time Courses are paid on a monthly subscription basis from the initial booking.

3.2 If joining before the 1st of the month, and attending classes in that time, you will be charged for these classes in addition to your initial monthly payment.

3.3 Term Time bookings can only be made for a minimum of one whole term, unless joining Cygnets Art School for the first time partway through a term, in which case the booking must be made for a minimum of the remainder of that term.

3.4 Unless Cygnets Art School is notified in writing by the parent at least 30 days before the start date of the next term, the student will automatically be re-enrolled onto the new term.

3.5 If you do not notify Cygnets Art School at least 30 days before the start of the new term, Cygnets Art School reserves the right to withhold 25% of the course fee (one monthly payment) for the next term.

4) Payment

4.1 All accounts must be paid in full, in advance, by the deadline provided, for the participant to attend any Cygnets Art School service. Until payment is received, the place is not secured and may be offered to another party.

5) Arrival and Departure

5.1 Each participant will be signed in and out at the start and end of each class, on the register provided by the teacher. It is the responsibility of parents to ensure they comply with these procedures and inform the teacher at the start of class if anyone other than themselves will be signing the student out.

5.2 Parents may only leave the classroom once the register has been signed.

5.3 For safeguarding and child protection reasons, parents are not permitted to remain in the classroom during sessions, unless specifically invited by the teacher for a trial, open class, or other agreed circumstance. This policy ensures a safe, consistent, and focused learning environment for all students.

5.4 If a student is to arrive and leave Cygnets Art School classes independently, parents must inform Cygnets Art School in writing beforehand.

5.5 Students must arrive no earlier than five minutes before the start of the class and be collected no later than five minutes after a session. Cygnets Art School cannot supervise students before or after these times.

6) Programme Changes

6.1 Cygnets Art School reserves the right to change course specifications and teaching staff as necessary.

6.2 In the unlikely event of a class or course being cancelled, customers will be informed as soon as possible and sent the online version of that project for students to complete at home.

7) Personal Property

7.1 All personal property is the participant’s responsibility. Expensive or treasured items should not be brought to Cygnets Art School classes.

7.2 Participants should wear suitable “messy” clothing or an apron/art smock for their class.

8) Meals and Snacks

8.1 Participants are advised to bring their own water-based drinks and snacks, with their name clearly labelled. Cygnets Art School classes are NUT-FREE ZONES, and any nut-based products will be confiscated and returned to parents at the end of the class.

9) Health and Injuries

9.1 Students participate at their own risk, and parents must inform Cygnets Art School and its staff of any existing injuries or medical conditions upon booking. Any medical conditions must be stated on the application form, and any changes must be notified to Cygnets Art School immediately in writing.

9.2 Any medication left on the premises must be clearly labelled. The student should be able to administer it themselves unless Cygnets Art School has agreed otherwise in writing.

9.3 If a student is unwell or requires emergency treatment, parents will be contacted via the emergency contact details provided at the time of booking. These details must always be kept up to date, and parents are responsible for ensuring they are current. Emergency contact details can be updated via your Class4Kids account.

10) Photography

10.1 During Cygnets Art School classes, photographs and videos may be taken of participants during activities. These images may be used for publicity purposes in images, videos, on our website, or in printed publications. Parents must inform Cygnets Art School upon booking if they would like their child/children to be excluded from any photographs/videos.

11) Equal Opportunities

11.1 We consider language, behaviour, or actions designed to be offensive or disruptive, or that create discrimination, unacceptable. Such behaviour will not be tolerated. Any participant exhibiting inappropriate behaviour will receive a clear warning. If the behaviour persists, the participant will be asked to leave the class, and parents will be contacted.

12) Liability and Insurance

12.1 Cygnets Art School carries public liability insurance for our classes and activities, but we are not responsible for any personal injury or loss caused during your participation, except where caused by our negligence.

12.2 You are responsible for ensuring that you and any children under your care have appropriate medical cover or insurance.

13) Data Protection

13.1 Cygnets Art School collects and processes personal information for the purposes of managing bookings, payments, and communication with you. We comply with applicable data protection laws, including GDPR, to ensure your data is handled securely and with respect.

14) Intellectual Property

14.1 All materials provided by Cygnets Art School, including class content, logos, and branding, are the intellectual property of Cygnets Art School Ltd and are protected by copyright law.

14.2 You are not permitted to reproduce or use any of our materials without prior written consent from Cygnets Art School.

15) Feedback

15.1 Cygnets Art School strives to satisfy all participants. If you have any concerns or suggestions, please let us know, and we will make every effort to resolve the issue.

16) Governing Law

16.1 These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
